Job Summary: This position serves as a temporary substitute administrative assistant, providing on-call or short-term secretarial and operational support across various departments or school offices in the absence of permanent administrative and clerical staff. Duties include managing day-to-day office communications, assisting visitors and staff, maintaining records, and executing administrative tasks required to keep daily operations running smoothly. The ideal candidate must adapt quickly to different office environments, exercise discretion regarding confidential matters, and deliver reliable, high-quality administrative support as needed.
Responsibilities may include:
- Scheduling meetings, managing conflicting appointments, and coordinating cross-departmental calendars.
- Adheres to strict confidentiality and exercises discretion regarding sensitive student, staff, and work-related information.
- Responds to routine inquiries via telephone, email, in person, or standard mail, directing visitors and staff appropriately.
- Generates reports, spreadsheets, memoranda, flyers, powerpoint presentations and other documents using electronic media including but not limited to Google Workplace and Microsoft Office products.
- Maintains electronic teacher absence report daily to ensure the weekly absence report is correct; forwards timesheets to payroll as needed per procedures.
- Sorts, distributes, and processes incoming and outgoing mail, faxes, and electronic communications.
- Assists teaching and administrative staff with daily operational needs and performs other related duties as assigned.
Qualifications:
- Experience:
- 1-3 years handling difficult, multiple and complex clerical duties and the independent handling of important administrative details.
- Demonstrated flexibility and the ability to step into various office environments with minimal supervision.
- Strong working knowledge of office practices and procedures.
- Excellent interpersonal skills to communicate professionally and effectively with staff, public officials, students, and community members.
- Ability to understand, follow and communicate complex written and verbal instructions, establish and maintain effective working relationships with others, and the ability to recognize and respond to organizational issues and priority setting situations.
- Education:
- High school diploma or equivalent required.
- Associate’s degree in a related field preferred.
- Physical Requirements:
- Walk, climb stairs, bend and lift up to 45lbs.
